Your employee is sick.
Or they’re on vacation.
Or something came up with their family.
And suddenly you’re doing their job.
You answer the phone.
You check the CRM.
You follow up with the customer.
You try to figure out what they were working on.
And in the back of your mind you’re thinking, “I really don’t have time for this.”
I understand.
People get sick. People need vacations. Life happens.
The problem is not that someone is unavailable.
The problem is when the whole business stops because one person is unavailable.
I learned this while building my own team
One of the things I care about most when I build a team is making sure the work does not live with only one person.
We document things.
We train people.
We create backup coverage.
We make sure someone else can step in when needed.
It is not perfect. We are always improving it. But that mindset has made a huge difference.
Because I don’t want one person’s bad day to become the owner’s emergency.
And I don’t want someone on my team to feel guilty for taking a vacation.
This is the difference between hiring a person and hiring a team
When you hire one person, you may get one person’s time.
When you have a team behind you, you get support that can continue even when one person is unavailable.
That’s important for a painting company because there are always things that need to keep moving.
A lead still needs a call.
An estimate still needs follow-up.
A customer still needs an answer.
Your CRM still needs to be updated.
Your social media does not know that someone is on vacation.
The work keeps moving.
You don’t need to build this perfectly
Start by asking:
What happens if this person is out tomorrow?
What do they know that nobody else knows?
What process only exists in their head?
Who could be trained as backup?
Then start documenting.
One process at a time.
That’s how you build a stronger business.
At Paint Momentum, this is one of the things we believe makes a real team different.
You are not hiring one person and hoping nothing happens.
You’re building support around the business so the business can keep moving.
